2. Information we may collect
- your name, email address, telephone number and the content of your message;
- information needed to answer an availability enquiry, arrange a reservation and provide a stay;
- billing and transaction information where required for a reservation or by law;
- after voluntary analytics consent: a random identifier, IP address, date and time, browser type and requested page;
- cookie preferences and information generated by optional website services, where enabled.
Please do not include sensitive information in an enquiry unless it is genuinely necessary for us to respond to your request or provide appropriate accommodation.
3. Why we use personal data
Enquiries and reservations
We use your details to answer questions, check availability, prepare a booking and take steps at your request before entering into a contract, or to perform the accommodation agreement.
Legal and accounting duties
Reservation and payment records may be kept where required to meet tax, accounting, registration or other legal obligations.
Website security
Visit and page-view data is stored only after analytics consent. Without consent, ordinary page views and requested pages are not retained in analytics access logs.
We do not sell personal data and do not use it for automated decisions producing legal or similarly significant effects.
4. Service providers and international transfers
Data may be processed by providers that support our website, hosting, email, booking communications, payment, IT or professional services, only to the extent needed for those services. Some website assets and cookie-management functions are supplied through Hostinger services.
If a provider processes data outside the European Economic Area, an appropriate transfer mechanism required by applicable data-protection law should be used. Third-party links and services have their own privacy terms.
5. Retention
- enquiries that do not become reservations are normally kept only as long as needed to respond and for no longer than 12 months;
- reservation and accounting records are kept for the period required by law;
- information needed to establish or defend claims may be retained until the relevant limitation period expires;
- analytics data collected after consent is retained for no more than 90 days, unless deleted earlier on request.
7. Your rights
Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your personal data, object to processing based on legitimate interests, and withdraw consent at any time without affecting earlier lawful processing.
Send a request to res@villacappella.com. We may ask for enough information to verify your identity before acting on a request. You also have the right to lodge a complaint with the competent data protection authority, including the Italian Garante per la protezione dei dati personali.
8. Updates to this policy
We may update this policy when our website, services or legal requirements change. The current version and update date will remain available on this page.
